1.

Update Shop Data

HuaYoung Creator Marketing Suite is more than a tool for bulk creator outreach — it is a full-lifecycle operations system for creator marketing.

Shop data sync pulls the latest products, sample requests, invitations, orders, and more into HuaYoung, providing the data foundation for downstream operations such as creator invitation and outreach, sample approval, content management, ad campaigns, and private-domain nurturing, as well as for the system’s intelligent analytics.
  1. 1.1

    Sync Shop Data

    1. Open the HuaYoung TK portal in a regular browser (not Ziniao, Zhanfu, or other fingerprint browsers): tkshop.szdamai.com
    2. In the left menu of the HuaYoung TK portal, choose “TikTok Stores”, then click the “More” dropdown on the target store card and select “Sync Data”.

    Note: When the flow actually runs, the system uses the fingerprint browser that hosts the HuaYoung TK extension (Ziniao, Zhanfu, AdsPower, etc.) or the HuaYoung Browser built into the HuaYoung Client to access the store and execute the flow, keeping the network environment secure.

    3. The system automatically opens a fingerprint browser (Ziniao, Zhanfu, AdsPower, HuaYoung, etc.) and runs the sync flow in the store backend.

    Notes:

    • The first run is a full crawl and can take a while — please be patient. Subsequent runs are incremental and much faster;
    • During sync, do not close the browser, switch tabs, or minimize the window, as this may interrupt the task;
    • If a CAPTCHA appears, it is handled automatically — no manual action is required.
  2. 1.2

    Check the Sync Result

    After sync completes, return to the portal and click “Refresh”.
    If the “Last Updated” time on the store card is updated to the time when the flow just finished, the shop data has been refreshed and you can start follow-up operations.

    Notes:

    • For daily operations, run the shop data sync flow 1–2 times a day (once in the morning and once in the evening).

Creator Invitation and Outreach

Creator invitation and outreach means sellers proactively contact content creators on TikTok to invite them to promote products, leveraging the creators’ reach and influence to lift shop sales. This is one of the key differences between a TikTok Shop and other e-commerce platforms.

HuaYoung TK supports multiple creator invitation and outreach methods, all of which are “one-click to start, fully automatic”:
  • Targeted Invitation: Create an invitation plan, set the products, commission, contact method and validity period — this is the core collaboration method;
  • Inbox Messages: Communicate with creators through the TikTok Shop backend inbox, often used for follow-ups after a targeted invitation or for everyday communication;
  • Email: Reach overseas creators by email — especially important on US and European sites as a supplementary channel;
  • Off-platform Outreach: Send instant messages to creators through their social accounts (such as WhatsApp, Line, Viber, Zalo, Facebook, iMessage, etc.) to contact, communicate, and collaborate.
  1. 2.1

    Targeted Invitation

    Targeted invitation creates an invitation plan for creators, setting the products, commission, contact method and validity period to invite creators to promote products.
  2. 2.1.1 Step 1: Open “Targeted Invitation”

    1. On the HuaYoung TK portal, go to “Home – TikTok Stores” and click the “Invite & Outreach” button on the store card;

    1. In the wizard dialog, on the “Select Products” tab, click “Select Products” to add products;
    2. Set parameters such as “Free Sample” and “Standard Commission”;

    Notes:

    • When the execution method is an “RPA flow”, the runtime device is the fingerprint browser where the HuaYoung TK extension is installed (such as Ziniao, Zhanfu, AdsPower, etc.) or the HuaYoung Client — please make sure they are all open.
  4. 2.1.3 Step 3: Select Creators

    1. In most cases, you can invite creators through the “Shop Creator Marketplace”;
    2. Set filter parameters such as category and GMV, and enter the number of creators to invite;
    3. Turn on “Precise Creator Matching”, and for ignore rules, you may check the option to avoid duplicate invitations;

    Notes:

    • Do not invite more than 500 creators at once — going over that easily triggers CAPTCHAs and reduces efficiency. For example, to invite 1,500 creators, split into 3 batches of 500. Or, build a scheduled automated workflow so the system automatically runs the creator invitation 3 times per day. See the “Schedule Automated Tasks” section later in this article.
    • When the creator marketplace supply is low or invitations frequently trigger CAPTCHAs, you can also invite through “Featured Public Pool Creators”.
  5. 2.1.4 Step 4: Choose Contact Method

    1. Enter a contact method;
    2. Type your invitation script in the message content — you can also click “Script Templates” to pick a preset script, or click “AI Script Assistant” to let the system’s AI generate an invitation script for you;
    3. Here, remember to check “Custom Tag” and enter: your name_{MMdd}. This makes daily operations much easier later;

  6. 2.1.5 System Executes the Flow

    After you click Confirm, the system schedules the task and automatically switches to the fingerprint browser where the HuaYoung TK extension is installed (Ziniao, Zhanfu, AdsPower, etc.) or the HuaYoung Browser, and starts the targeted invitation flow.

    Notes:

  7. 2.1.6 View Invited Creators

    1. After the flow finishes, return to the HuaYoung portal;
    2. Click “Creators – Team Creators” and use tags to see how many creators you just invited.

    • Make sure the creator list is set to “All Creators”. If you do not see the “Tag” column in the list, look for the “Fields” button in the top-right corner and click it to display the “Tag” column.

    Bulk Inbox Messages

    1. Go to “Creators – Team Creators” and filter the creators you want to message by tag (e.g., filter creators I invited on a given day), or use the “Advanced Query” button for a more complex query;

    Email

    HuaYoung TK supports sending emails to creators in bulk. US and European creators in particular still treat email as one of their main communication channels.

    Below is the typical bulk email flow in HuaYoung: (for detailed setup and steps, see the doc: Send emails to creators)
    1. Step 1: Configure the email sending service

      In the HuaYoung TK portal, go to “System Settings – Email Settings” and add a new email sending service. Two types are supported:

      • Gmail: Recommended — many creators provide a Gmail address, and Gmail is less likely to flag your message as spam.
      • Other email services: such as Tencent Business Mail — you must first enable POP/SMTP and generate an app-specific password, then choose the “Other” type in the system to configure it.

      After the email service is configured, create an email template in the system and set the subject and body.

      Run the creator “Information Update” flow to fetch creators’ contact details including email. For the detailed steps, see the doc: Creator information update (crawl creator contact details).

      In Team Creators, filter target creators who provided an email address, choose the “Send emails to creators” flow, pick an email template you created, and the system will automatically email all of them.

    Off-platform Outreach

    HuaYoung TK supports off-platform outreach — one of the system’s signature features.

    Off-platform outreach means using creators’ instant messaging accounts (such as WhatsApp, Line, Viber, Zalo, Facebook, iMessage, etc.) to add them as contacts in bulk and send them instant messages for contact, communication, and collaboration.

    Here is a quick overview of the steps (if you need this feature, please read the reference docs in the Notes below for full details):
    1. Step 1: Connect phones and IM accounts

      The system supports group-controlling Android and iPhone devices, which you can use to drive the IM apps on the phones in preparation for later flows.

      In the HuaYoung TK portal, run the “Creator Information Update” flow — the system will automatically fetch creators’ IM accounts and other contact details.

      In the HuaYoung TK portal, select target creators, choose the “Send instant messages to creators” flow, set the message content, and the system automatically sends the messages via the connected phones.

    Notes:

    • Off-platform outreach requires connecting phones to use the phone group-control feature;
    • The off-platform outreach feature requires an upgrade to the Private Domain Edition;
    • Once you have a creator’s IM account and outreach is established, we strongly recommend communicating via the phone IM app — it greatly improves the creator’s response rate.

Creator Assignment and Claiming

Creator assignment and claiming is a core daily activity for the BD Expansion Edition.

By default, a BD can claim creators of interest on their own from “Team Creators”. If you need centralized management, you can disable self-claiming by BDs and have a business manager assign creators centrally. Finally, on the “Assigned Creators” page you can view creators assigned to “me” or to the “department”.

    Here is a commonly used and important operational tip: BDs can use the “Tag” filter at the top to surface the creators they want to claim. For example, filter by your own custom tag (created during a targeted invitation) to find the creators you invited on August 18, and then claim those creators.

  2. 3.2

    Manager-driven Creator Assignment

    If your company’s business does not allow individual BDs to claim creators, but instead requires a business manager (Super Admin / BOSS / Manager role) to assign creators centrally:

    First, disable BD self-claiming: in “SettingsGeneral System SettingsCreator Claim and AssignmentAdvanced Settings”, turn off “Allow BDs to self-claim creators”.

    • Only users with the “Creator Assignment” permission can assign creators. By default, Super Admin, BOSS, and Manager all have this permission. For details, see: Team management and permissions.

Sample Requests and Fulfillment

Sample request handling and fulfillment is one of the core daily activities for a BD after a creator is invited and outreach is established.

Once you have successfully invited a creator to promote your products, the creator will often request a sample (i.e., a sample request). You need to review and track their sample requests, and manage shipping, delivery and fulfillment progress.
  1. 4.1

    When a BD has claimed a creator in the previous stage, they need to handle that creator’s sample requests.

    To keep the management chain well-traceable, the team needs to enable it in “Settings – General System Settings – Creator Claim and Assignment – Advanced Settings”: Claim-Based Sample Approval (a creator’s sample requests must be approved by the assigned follow-up person). If it is not enabled, please ask a Super Admin / BOSS in your team to follow Basic Environment Setup (enable Claim-Based Sample Approval) to turn this setting on.

    With this on, only the creator’s assigned BD follow-up person can take part in the sample approval; if the creator has no follow-up person yet, the creator must first be claimed before any sample approval can be processed.

      Approval results are temporarily held in the “Task Drawer” in the bottom-right corner. Open the “Task Drawer”, check the approval results you just made, and click “Bulk Execute” — the system will then schedule and complete the actual sample approvals.

      You can also check and choose “Cancel Task” to revert to the pre-approval state (the approval list page needs to be refreshed).

    Tips:

    • Generally, for sample requests from creators you do not want to send a sample to, we usually “Hold” them rather than “Reject”.
    • If you have a high volume of sample requests, you can also use “Auto Approval Policy” on the left for bulk automated pre-processing. For more on auto approval policies, see the doc: Sample approval and tracking (Auto Approval Policy, AI Approval Policy)
  2. 4.2

    Sample Tracking

    After a sample request is approved, you need to track the sample’s approval, shipping, delivery, content production, and whether it generates orders for you — to keep fulfillment smooth and avoid the collaboration getting stuck on the shipping step.

    1. Step 2: Batch processing

      Depending on the situation, you can run bulk operations such as sending inbox messages or instant messages to creators at a given stage. For example, for creators with no content output for 10 days, you can bulk-select them, click “Bulk Creator Operations”, and choose to send inbox messages or instant messages.

Track Creator Content

BDs need to keep watching the content output of the creators they are following up, including monitoring views, likes, and conversions of creators’ promotion videos and live streams, tracking the content authorization status, and running bulk operations for a subset of creators.
  1. 5.1

    When you run the “Shop Data Sync” flow, the flow will fetch the promotion videos creators have produced for you into HuaYoung TK. You can view each video’s play data, authorization status, promotion performance, and more here.

      In the “Contents” module, use the “Follow-up Person” filter at the top to find the creators I need to follow up.

      Video plays, likes, and other metrics change dynamically. You need to refresh these numbers regularly to prepare for follow-up operations.

      1. Because TikTok backend does not expose video likes or play counts, you must query them on www.tiktok.com. Browsers like Ziniao and Zhanfu cannot reach that site in principle, so updating video info requires a pre-setup step to prepare a browser profile for video info updates — see the reference doc: Updating video media information

    1. Step 3: Analyze videos and data

      1. The video list shows the promoting creator, orders, CPM conversion, and the product promoted for each video. Use the “Fields” button in the top-right corner to surface more fields you care about.
      2. Click a video thumbnail or title to view detailed information, including:
        • The video’s heatmap: the trend of plays, likes, and comments over the last 30 days
        • Video play and download: view the promotion video directly in the browser inside HuaYoung, and download it if needed

    1. Step 4: Get the video authorization status and promotion code

      For videos that need to be boosted, you need to keep an eye on their authorization status:

      1. If the status is “Pending Authorization” or “Unknown”, select those videos and click “Update Authorization Info” at the bottom to query the latest authorization info
      2. For videos whose authorization type is “Promotion Code” but whose status is “Not Authorized”, you need to ask the creator for the promotion code. Once a video is about to go viral, you can launch the ad push right away, without losing the best timing because you had to request the promotion code later.

Schedule Automated Tasks

Workflow orchestration is a core feature of HuaYoung TK. It lets you turn repetitive work — shop data sync, targeted creator invitations, bulk inbox messages, video info updates, exception alerts, and more — into scheduled or trigger-based plans that run automatically, reducing manual work and automating shop operations.
  1. 6.1

    Step 1: Create a new workflow orchestration

    1. Create a new workflow orchestration: in “Tasks – Workflow Orchestration”, click “New Workflow”. If you access the store through Ziniao, Zhanfu, or another browser (with the HuaYoung TK extension installed), choose “Other Browser”, and give this orchestration a name.

    2. Enter orchestration details: After confirming the previous step, a new workflow is created. Click “View Details” to enter this workflow.

    3. Choose a browser instance: click “Add Browser Extension Instance”, select the browser instance where the HuaYoung TK extension is installed. The later steps will start this browser to run the scheduled and trigger plans you create.

    Step 2: Create a schedule plan

    For example, we want to run shop data sync every morning at 8 a.m.

    1. Click “Create Schedule Plan”.

    Best Practices

    Once you understand how to create schedule plans and trigger plans, you can theoretically orchestrate almost any scenario you need.


    HuaYoung TK also summarizes the operations experience of major sellers into a set of best practices that you can use directly:

    Click “Recommended Strategies” to see a series of preset execution times and plan schedules. You can trim, tweak, and fill in your own invitation products and contact methods, then click “Confirm” — the workflow will be orchestrated as a copy of the recommended plan.

    • Automated flows require the HuaYoung Client or a browser with the HuaYoung TK extension to stay logged in, and make sure the login account matches the one used for the HuaYoung TK portal.

View Performance

Creator performance and BD performance follow these rules:

1) Creator performance:
  • A creator’s performance is the input and output of that creator with the assigned BD follow-up person during the collaboration period;
  • Inputs are: the creator’s commission, the creator’s sample costs, and the creator’s other offline costs;
  • Outputs are: the sum of GMV of the creator’s promotion orders (excluding cancelled orders).

2) BD performance:
  • The content (videos / live streams) produced by the creator during the collaboration period is attributed to the assigned BD follow-up person, and all orders generated by that content are attributed to the BD’s performance;
  • If the creator’s follow-up person is switched from BD1 to BD2, performance is split between BD1 and BD2 according to their respective collaboration periods.
  • For affiliate orders without a media source produced during the creator’s collaboration period, the Super Admin / BOSS in the team can decide, in “Settings – General System Settings – Creator Assignment and Claiming – Advanced Settings”, whether they count toward BD performance or shop performance, depending on the company’s operations.

    You can also open the creator’s attribute panel to view the full breakdown of inputs, outputs, products, sample requests, content produced, follow-up records, and other collaboration details from the very first collaboration to today.
